First phase of ERP Vision implementation concludes


The university successfully implemented the first of three stages of a new ERP system that seeks to automate request processes, facilitating the user experience with university services and the internal work of collaborators.

SANTO DOMINGO.- The Vice-Rectorate for Administration and Finance of the Instituto Tecnológico de Santo Domingo (INTEC) concluded the first phase of implementation of the VISION project, focused on optimizing internal processes for the services offered by the university to students and teachers.

The vision of the project, which is part of the INTEC strategic plan 2023-2027, is “the global integration of the different academic, administrative and people management modules, in an intuitive, easy-to-understand way,” said Jean Carlos Ureña, project manager at Iteprof, a company that supports the implementation of the new enterprise resource planning (ERP) system.

With the completion of the first phase of this project in the Finance and Logistics Module, the Academic and Student Module was inaugurated, which corresponds to the improvement of the services offered to the entire academic area.

At the closing ceremony of this first phase, Julio Sánchez Maríñez, rector of INTEC, stated that the previous system had fulfilled its purpose and that it was time to change the ERP.

 “We are committed to quality, but without operational excellence, the castle of quality falls. And a large part of operational excellence is provided by the ERPs, the systems, the common platforms that allow us to manage the financial part, the pension part, the registration part. Without that foundation, without that base, everything that has to do with academic quality or institutional quality falls,” said the rector.

Alliet Ortega, Vice-Rector for Administration and Finance at INTEC, thanked the entire team that made this achievement possible, including members of the Vice-Rectorate for Administration and Finance. “I am very grateful for the time, commitment and effort of the entire team, both the committee and all the teams that have worked to get to where we are today. It has been almost a whole year where everyone has dedicated themselves to this,” said Ortega.

Alberto Marrero, leader of the Vision project, praised the implementation of this project at the university, in which the use of new technologies is key. “Technology is no longer an option, technology is a necessity, and it doesn’t matter what commercial activity you are engaged in,” he said.

As part of the event, the collaborators who made an exceptional contribution to the implementation process of the first phase were recognized. They were Flor García, Accounting Director; Ariel Alcántara, Revenue Manager; Eleiny Parra, Budget Analyst; Eric Valdez, Financial Analysis Assistant; and Angélica Cuello, Fixed Asset Control Manager. Also recognized were Fioldaliza López, Budget Coordinator; José Reyes, Warehouse Manager; and Raysa Gómez, Purchasing Manager.

From the Information Technology Department, the work of Richard Joaquín, Database Coordinator; Luis De Los Santos, Information Security Manager; Jenniffer Hernández, IT Resources Leader; and Darnely Caraballo, Director of Academic Intelligence, were highlighted.

Symbolically, Vice-Rector Ortega passed the leadership of the project to Arturo Del Villar, Academic Vice-Rector, to continue with the implementation of Vision in the Academic and Student module. 

What was it like working with Vision?

Eric Valdez, Financial Analysis Assistant, said that “Working with Vision has been a very invaluable experience. It took a lot of knowledge, a lot of effort, a lot of dedication to carry out this project.”

Mentioning the advantages of the platform, Eleiny Parra, a Budget analyst, considered that with the system it is possible to better monitor the application processes. “The processes have been reduced and there is traceability. This traceability is also available for the end user, who can see what process their application is in, which is what we usually had to assume over the phone, the units calling…”

Automation and real-time availability of information are other advantages mentioned by Johan Rodríguez, functional leader of the INTEC Vision project, who assured that “with less we will do more.”

"We are seeing that value is really being added to the university, to the end user, that their daily life is being simplified," he added. Jenniffer Hernández, IT Resources Leader.

Luis De Los Santos, Information Security Officer, explained that the previous system was more complex to assign technically. “Previously, we worked practically with different systems. We had to create users and assign permissions to users in different areas, in different applications… But now it is only a matter of loading the user into a system and assigning the corresponding role and permission to him.”

Adapting equipment to ERP Vision

“In fact, I understood that the issue of change was going to be a little more traumatic. But people have really managed, adapted and flowed with everything that is the functionality of the system,” he said. Noemí Martinez, Director of Information Technology at INTEC.

His comment was joined by Carlos Cabrera, Finance consultant at iteprof, who said that “It has been very gratifying to work with INTEC, because they have adapted very easily and quickly to the new system. Both operational users and end users, who make requests from external departments, have adapted very quickly.”
